Conditions of Use

The Palmerston North City Library and the Ian Matheson City Archives encourage the reproduction of materials from their collections. For school projects or other private study, images may be printed freely. For all other uses, permission must be obtained before publication or reproduction. 

Applications for use of an image must be made on the online Order a print form, which includes a declaration of intended purpose.

Permission granted is for the unaltered reproduction of the image. The image must be reproduced as supplied, and not cropped in any way (except for margins, captions etc…) unless express permission has been given.

The commercial or other use of photographs may be offensive on ethical or cultural grounds. For this reason, care must be taken in the use made of such reproductions and the proposed use may need to be discussed when applying for reproduction rights.

The Library’s permission and fee applies only to the use you have declared on the order form. Permission must be sought for any alterations or additions to the declared intended purpose. Further use of the image requires contacting us again for permission and may require a further fee.

The Library reserves the right to request a copy of any published works produced using images from our collection.

Copyright and Privacy

Under the New Zealand Copyright Act 1994 material is protected for different periods of time according to format.

The majority of the images in Paataka Ipurangi are free from copyright restrictions. The City Library does not charge an additional copyright fee.

If there are any issues surrounding copyright you will be informed on receipt of order. Those images which are not free of copyright will require permission to be obtained, by you, from the copyright holders, before reproduction can take place. Additional charges, payable to the copyright owner, may apply. Library staff may be able to assist with this process but are not qualified to give legal opinions.

At times copyright can be difficult to determine.  In these circumstances the Library will accept a letter in which you accept responsibility for publishing an item for which you have not been able to clear copyright and outlining the steps you have taken to determine and clear copyright. Please note that this procedure does not give you indemnity.

The Library will not accept responsibility for any decision about copyright made by users.

Palmerston North City Library has made every effort to establish copyright status.  Sometimes however, status is unclear. We welcome further information, so please feel free to Contact us if you can help us in this respect.

Responsibility for obtaining any clearance under the Privacy Act rests with the applicant.

Acknowledgement 

Acknowledgment of the Palmerston North City Library or the Ian Matheson City Archives must accompany the reproduction of all images, together with citation details. Citation details will be given on receipt of order.

The acknowledgement should be reproduced on the same page as the image, or at the beginning or end of audiovisual resources.

Order Digital Images Online

Orders can be made on the online Order a print form. Digital images will be provided as high resolution digital files (300 dpi JPEG) either

  • On CD (CD and postage costs apply))

  • Online (via e-mail)

Print reproductions from the file can then be obtained by you at a photo shop or photo lab.OR

Fees

A reproduction fee, dependant on intended use, is payable for each image, to cover processing and supply costs. Details of fees are available on the online Order a print form. The supply of a CD incurs a $2.50 charge.

Online payment is currently not available. Payment may be made by cash, cheque or money order. Orders will be dispatched once payment is received.
